$90,000 – $110,000 + super (commensurate with experience)

Solution Psychology is an award-winning, purpose-built psychology clinic in Moonee Ponds. We’re a large, close-knit team who value structure, warmth, and doing things properly — without feeling corporate.

Solution Psychology is growing, and we’re searching for an exceptional Client Services Manager, a powerhouse administrator and natural leader who thrives in busy environments, loves numbers, and knows how to build high‑performance teams.

Internally, this role is titled Client Care Manager, and the successful candidate will be hired under this title.

You do NOT need clinical, health, or medical experience.
You do need confidence, structure, leadership, and an obsession with operational excellence.

This is the operational engine room of the clinic. You’ll oversee the full client journey, from enquiry to intake to booking, ensuring our clinicians stay fully booked, our clients feel supported, and our admin team performs at a world‑class standard.

What you’ll be doing

Lead & Elevate the Client Care Team

  • Provide clear, strong leadership to the front‑of‑house and intake team
  • Set expectations, coach performance, and maintain high standards
  • Foster a calm, accountable, supportive team culture
  • Manage client escalations, complaints, and sensitive situations with professionalism and confidence, supporting the team to resolve issues constructively while maintaining strong service standards.

Drive Operational Performance & Client Flow

  • Oversee enquiries, conversion processes, and client intake
  • Maintain efficient allocation of new clients based on capacity
  • Identify bottlenecks early and take proactive action
  • Ensure every part of the client journey is smooth, organised, and consistent

Use Data to Make Smart Decisions

  • Monitor clinic capacity, utilisation, cancellations, and demand trends
  • Communicate operational insights to the Operations Director 
  • Identify opportunities to improve efficiency and overall performance

Maintain High Administrative Quality

  • Ensure accuracy across administrative processes and client information
  • Oversee adherence to scripts, SOPs, and documented workflows
  • Streamline processes and implement continuous improvements

Support Referrer & Stakeholder Engagement

  • Communicate with external partners, referrers, and stakeholders where required
  • Represent the clinic professionally and confidently
